Public sector Statutory bodies · regulators · councils

Oak for Independent Statutory Institutions Confidential, compliant, and built for the meetings that decide policy.

Client situation

The organisation holds many high-stakes meetings to discuss training standards, regulatory compliance, and educational outcomes. Manual transcription is labour-intensive and time-consuming.

Given the sensitive nature of the data — including accreditation details and professional development records — current solutions in the market are unsuitable. Regulations explicitly prohibit their use due to the high risk of exposing confidential information to breaches and unauthorised access.

The Oak solution

  • Workspace-level data control — including dedicated regional storage and the option for on-premises deployment for the most sensitive bodies.
  • Granular access controls per committee, per matter, per record-class. Audit logs visible to designated officers.
  • Bilingual transcription for Cantonese, English and Mandarin proceedings — with citation timestamps for every line.

Key achievements

  • Enhanced data security and control
  • Adheres to industry standards
  • Confidential records handled within regulated boundaries
FAQ

Common questions from statutory bodies

Can data be kept entirely within Hong Kong / specific region?

Yes. Enterprise customers choose their data region. We do not move data across regions for processing. Dedicated single-tenant deployments are available for the most sensitive workloads.

Is on-premises deployment supported?

Yes — for qualifying bodies. The full Oak stack can be deployed inside your own data centre with model updates pushed under a controlled cadence.

Who has access to our recordings?

Only the users you authorise inside your workspace. No Oak engineer has access to customer audio or transcripts in production. Support sessions are gated through customer-initiated screen-share.

How is access logged and audited?

Every access — read, export, share — is logged with user, time, and record. Logs are exportable to your SIEM.
